GENERAL TERMS
Padel Project UK (PPUK) Buildings and Head Office are strictly non-smoking except for designated areas.
Dogs are not permitted on courts or PPUK indoor facilities and fenced enclosures with the exception of guide/service dogs.
Riding of bicycles, skateboards and scooters is strictly prohibited in the Venues’ grounds. Bicycles must only be left in the bicycle racks provided.
Opening and closing times of our facilities vary throughout the year and are published on our website and the Venues’ noticeboards. Opening and closing hours can change at short notice with inclement weather conditions. Selected courts might be accessible using coded gate access while the buildings are closed.
All players and visitors must adhere to all notices, signs and information intended for the safety of you and others.
Any individuals / groups behaving in any way deemed by PPUK to be abusive, vulgar, racist, sexist, defamatory, sexually orientated or obscene or which will harass, distress, embarrass or inconvenience any person (including staff) or which might restrict or inhibit the use and enjoyment of the facilities by any person will be asked to vacate the grounds and may have their membership benefits withdrawn.
People not playing sports should respect players on court by not making too much noise or causing distractions.
PPUK strives to provide a safe and inclusive environment for everyone. Each of our sporting venues operates according to the ‘Safeguarding, Diversity and Inclusion’ policies as set out by the LTA. Lost property, balls or equipment found should be handed back to the owner or to the nearest available member of staff.
Personal items should not be left unsupervised on the premises at any time. PPUK accepts no responsibility for items lost, stolen or damaged on the premises.
PPUK will seek to reclaim any costs related to the intentional, malicious or negligent damage to property or assets of PPUK. Hire rackets not returned after play will be charged at £200.
If you suffer an injury on our premises, it is your responsibility to report it to a member of staff immediately.
PPUK will not accept liability for any injuries incurred during play or visit at PPUK premises.
Players must inform PPUK of any medical condition or disability which may be relevant to the person booked into an activity. Players must also notify PPUK of any change or deterioration of any such medical condition or disability. PPUK will keep this information confidential and handle such issues with discretion. It is our policy to include any such individuals within the scheduled programmes wherever possible, but we reserve the right to refuse the booking if we are unable to accommodate the requirements of any individual.
PPUK is not liable for any incorrect information supplied by players.
Appropriate sporting attire should be worn on court and shirts must be worn at all times. Non-marking footwear must be worn on court.
Recommended footwear for padel courts: Non-marking trainers (general), not football boots or any footwear with studs (moulded stud, screw-in stud).
MEMBERSHIP
PPUK offers membership on monthly and annual membership basis.
Premium membership are limited and they may not be available for purchase throughout the year.
Concessions: Student (with valid UK student ID), Senior (with Freedom Pass), Junior (16 & under) and persons with disabilities membership are offered at reduced rates for annual membership only. The process of applying for a Concession requires approval of submitted documents.
Off-peak members have access to standard membership benefits excluding Monday – Friday after 5pm, Bank holidays and all-day weekends.
All membership types are venue specific.
Members can purchase a membership via Playtomic app.
PPUK may terminate (without a refund) or impose sanctions on members in the event of any breach of the Terms & Conditions.
RENEWAL PROGRAMME
In order to offer an efficient membership system, PPUK offers a rolling renewal programme. This means that once you have chosen to purchase your membership for the first time, you are agreeing to renew your membership at the selected interval (monthly or annually) by a recurring payment and any relevant future renewals will be collected automatically (i.e. if you have just paid for 365 days membership, you will be charged by a recurring payment every 365 days for the same venue unless you give notice – see Cancellation Policy/membership below).
The minimum membership period is one month.
The purchase of any membership is non-refundable and non-transferable.
COURT BOOKINGS
Court bookings are available for 60 minutes and off peak times can also be booked for 90 minutes.
Court bookings can only be made online.
Premium membership holders may make padel court bookings up to 21 days in advance at the Venue at which they hold their membership, other membership holders can book 14 days in advance and all other users 7 days.
Court fees are based on peak and off-peak times.
Members can book courts at discounted rates and the total court booking fee is adjusted accordingly to each player’s membership type.
Attendance later than 15 minutes after the booked hour may result in the court being released and sold to another player. In this instance, no refund will be issued.
A full fee applies to play that continues for longer than 15 minutes after the booked hour.
All players are permitted up to 4 active bookings at any time.
Some courts are reserved by PPUK for coaching programmes, events and league matches.
Only coaches who have a valid signed PPUK Coaching Agreement may provide and charge for coaching services. Only these coaches can book courts in advance for individual coaching lessons. Use of baskets of padel tennis balls is restricted to these coaches only.

GROUP COACHING
GROUP COACHING: COURSES & CAMPS
Registrations and payments can only be made online.
Places are sold on a first-come first-served basis but priority booking may be offered onto programmes to Premium membership holders.
All members can book venue activities at reduced rates.
If a course is undersubscribed and cancelled, the Senior Coach/membership staff will suggest alternative arrangements to attendees.
Selected courses may be released each term with the option for players to choose sessions they wish to attend in advance.
A missed session may be replaced only with another suitable session at the sole discretion of the Senior Coach. The arrangement must be made in advance.
Missed sessions may not be transferred to weekend or classes.
Missed sessions will not be refunded unless there are exceptional circumstances e.g. doctor’s note.
Junior Camps will run for the scheduled time irrespective of the weather. Play will continue in inclement weather at the coaches’ discretion. If necessary, coaches will utilise wet weather resources to aid off court learning.
We reserve the right to refuse entry to a course or advise a more appropriate session if any participant is found not to be of the correct age/ability, or is unable to complete a course due to being in the incorrect age/ability group.
We are unable to accept replacements of players in lieu of your booking.
In exceptional circumstances and where camp/course capacity allows it, the Senior Coach and staff may authorise for an attendee to transfer the reservation to/from another term.

GROUP COACHING: CLASSES
Places are sold on a first-come first-served basis but priority booking may be offered onto programmes to Premium membership holders. All classes can be booked seven days in advance by all other players. Selected classes may be released each term with the option for players to choose multiple sessions they wish to attend in advance.
All members can book venue’s classes at reduced rates.
Registrations and payments can only be made online.
The coaching staff and membership staff will advise an attendee of a more appropriate class or have the right to exclude them from a class if they are not the right standard.
Where a player fails to arrive for a pre-booked class, their space might be re-sold after 15 minutes of the session starting.

GROUP COACHING: JUNIOR COACHING
All juniors booked onto junior courses and camps are fully supervised, but we do not take responsibility for the supervision of juniors using the courts at other times.
All juniors booked onto junior courses and camps must bring appropriate weather protection on court at the beginning of the session. They are not permitted to leave the court without permission from the coach.
Permission for juniors to be released and go home alone must be given in writing. We reserve the right to charge for this supervision at the rate of £10.00 for every 30 minutes.
INDIVIDUAL COACHING
Individual coaching sessions can be booked online. The coach has the right to decline the booking. A minimum notice of 24 hours will be given if coaching sessions cannot go ahead at the decision of the coach.
Coaches are exclusively responsible for managing and delivering individual coaching sessions.
Coaches are responsible for attending any session they have agreed to.
Lessons are for one player but can be joint sessions at the discretion of the coach.
Coaches are responsible for court and facility fees.
Quality assurance, coaching promise and guidelines are accessible online.
Any coach who is not contracted by PPUK found to be performing coaching will be asked to vacate courts immediately. No court fee refunds will be given to individuals involved.
PLAYERS’ POINTS ON PADEL PROJECT UK ACCOUNTS and vouchers
Padel Project UK offers points that may be purchased and used online.
The standard value of one point is one pound.
Points can be purchased at a discounted prices for stated quantities of 100 points and above.
Points and vouchers are non-refundable.
Points and vouchers expire after 1 year.
Points and vouchers have no redeemable value.
Points and vouchers cannot be used to pay for guests.
CANCELLATION POLICY
CANCELLATIONS REQUESTED BY THE PLAYER
MEMBERSHIP
No cancellation or refund is possible once the 14-day cooling off period is over.
For all types of membership, termination notice is continuous month + 1 month to cancel your membership (future payments towards membership).
membership holders will retain access to the benefits for the remaining part of your membership period left of the membership.
Cancellation notice of a minimum of 30 days must be done through the membership holder’s online account. Members can swap their membership via our website.
COURT BOOKINGS
At Potters Bar, any court cancellations must be made with more than 24hours in advance of the court booking time to receive a refund.
At Lowther Gardens, any court cancellations must be made more than 48 hours in advance of the court booking time to receive a refund
Cancellations made within 24 hours at Potters Bar and 48 hours at Lowther Gardens are not eligible for refund.
GROUP COACHING: COURSES & CAMPS
Where the participant wishes to cancel a programme booking, the following arrangements apply:
If cancelled more than 5 days before the first session, you will receive a refund equal to 100% of the original fee;
If cancelled more than 48 hours before the first session but less than 5 days, you will receive a refund equal to 50% of the original fee in club credit.
If cancelled less than 48 hours, you are not eligible for a refund.

CLASSES
Any necessary class cancellations must be made with more than 24 hours’ notice prior to the session start time to receive a refund.
Cancellations made within 24 hours are not eligible for a refund.
INDIVIDUAL COACHING
At Potters Bar individual coaching sessions cancelled less than 24 hours before are not eligible for a refund.
At Lowther Gardens individual coaching sessions cancelled less than 48 hours before are not eligible for a refund.
EXCEPTIONAL CIRCUMSTANCES
Death or terminal illness of participant/spouse/partner/grandparent/parent/son/daughter/sibling. A refund of all activities not completed will be provided in full upon presentation of death certificate or another legal document confirming death.
Long term illness of participant preventing them from playing sports. A refund of all activities not completed will be provided in full upon proof (i.e., medical diagnosis letter, appointment letter, treatment letter or any other support documentation).
Leaving the Country permanently. A refund of all activities not completed will be provided in full upon proof of leaving (i.e. proof of residency, VISA/citizenship approval letter, named on new address post letter etc.).
CANCELLATIONS
COached Sessions
Any decision to cancel a session due to adverse weather is based on the extent to which courts are affected.
If the weather forecast prior to the session is poor, any decision to cancel will be made by the Senior Coach as late as it is reasonably possible.
Eligible refunds are made in a form of a credit to the player’s Playtomic account. Credits can be used against other bookings.
COURT BOOKINGS
In adverse weather conditions the player is responsible for checking the weather forecast in advance of their booking to decide if they wish to play. At Lowther Gardens, the player should also contact the venue to check if play is possible no earlier than an hour before the booking start time.
If the venue or Senior Coach deems the courts unplayable, a credit will be applied to the player’s Playtomic account. Credits can be used against other bookings.
Refund requests must be emailed to cancellations@padelprojectuk.com no later than 24 hours from the booking time.
If you choose to play in adverse weather conditions/on slippery courts and use the court for more than 30 minutes, you are not eligible for a refund. Play in adverse weather conditions is a personal choice.
In the unlikely event of additional courts being required by Programme bookings, we reserve the right to cancel court bookings up to 1 day in advance. A refund will be issued.
GROUP COACHING: COURSES AND CAMPS
If the weather is inclement, the sessions are deemed to run unless an official cancellation has been communicated. Decisions in such circumstances, will be made as early as possible. A refund will be issued.
In the event of inclement weather, the extent to which a session is deemed to have taken place is dependent on the amount of time on court:
If a session runs over half of the designated time, the session is considered as having taken place and no refund will be issued.
If a session is interrupted before half of the session is completed, a refund of the full value of the session will be issued.
In the unlikely event of insufficient numbers, we reserve the right to cancel courses up to 1 day in advance of the start date. A refund will be issued.
CLASSES, TOURNAMENTS AND LEAGUES
In the event of inclement weather, the extent to which a class is deemed to have taken place is dependent on the amount of time on court. This is inclusive of both a coach-led hour and/or during an hour with no coach (when players mix in and play). If less than 30 minutes is completed of each hour, a refund will be issued with the value as follows:
the first hour, coach-led: refund for 100% of session
the second hour, coach-led: refund for 50% of session
the second hour, non-coach led: refund for 25% value of session
on occasions when there is a third hour, no refund will be given for this hour
If 30 minutes or more per hour is played on court that hour is classified as having taken place.
If a pre-booked class is undersubscribed and cancelled and does not go ahead, a refund will be issued.
